Job Summary:

 

We are seeking a proactive, organized, and detail-oriented Aftersales Coordinator to manage and coordinate vehicle repairs, maintenance, and service activities reported by clients.This role is responsible for ensuring all vehicle issues are properly tracked, assigned, and resolved efficiently through appointed vendors or workshops while maintaining accurate documentation, service records, and communication with clients.The ideal candidate should possess strong coordination skills, good problem-solving abilities, and the capability to manage multiple cases simultaneously in a fast-paced fleet operations environment.

 

Key Duties & Responsibilities:

 

  1. Monitor, Record, and Update vehicle issues reported by clients through various communication channels including WhatsApp, email, and phone calls in a timely and accurate manner.
  2. Coordinate with clients to gather detailed information regarding vehicle issues and provide timely updates, recommendations, and next action plans.
  3. Assign repair, warranty, breakdown, and scheduled maintenance jobs to the appropriate vendors or workshops based on job requirements, location, and service capability.
  4. Follow up closely with vendors and workshops to ensure repair and maintenance works are completed within the agreed Service Level Agreement (SLA) or turnaround time.
  5. Manage and coordinate vendor performance to ensure repair quality, timely completion, proper diagnosis, and professional handling of assigned jobs.
  6. Maintain proper documentation and records for all repair and maintenance activities including quotations, technical reports, repair photos, invoices, warranty claims, and service records.
  7. Prepare and compile periodic operational reports including vehicle issues, turnaround time, repair status, recurring defects, vendor performance, and maintenance trends for internal review and continuous improvement initiatives.
  8. Track wear-and-tear replacement items such as tyres, 12V batteries, bulbs, wipers, and other consumable components to ensure timely replacement and cost monitoring.
  9. Monitor and record spare parts movement from drivEV inventory, including issuance, usage tracking, cost allocation, and vehicle details.
  10. Escalate unresolved, high-cost, or recurring technical issues to the relevant internal teams for further investigation and corrective action.
  11. Support continuous improvement initiatives by identifying operational gaps, recurring failure patterns, and opportunities to improve repair turnaround time and service quality.
  12. This role requires a degree of flexibility, including the ability to respond to time‑sensitive communications beyond regular working hours, where necessary to support operational requirements

 

Qualifications:

 

  • Diploma or Degree in Automotive Technology / Engineering
  • SKM Level 3 / 4 in Automotive Management, IMI UK Level 1-3 in Electric Vehicle or similar
  • Basic technical diagnosis and repair or troubleshot
  • Possess adequate customer service skills
  • Minimum working in aftersales in-service center (2 or 3 years)
  • Proficient in Microsoft Excel, Google Sheets, and basic reporting tools
  • Familiarity with vehicle repair processes, maintenance schedules, warranty claims, and workshop operations
  • Ability to multitask and manage multiple repair cases simultaneously
  • Experienced in working with or related to hybrid or EV repair
  • Able to communicate professionally with both clients and vendors
  • Comfortable working in a fast-paced environment with operational KPIs and turnaround targets
