What will you do:

 

  • Act as a point of contact for the senior management, handling inquiries and requests with professionalism and discretion.
  • Assist in calendaring & digital signing processes for documents as required by the senior management.
  • Assist with personal claims for the senior management whenever necessary, maintaining accurate records and compliance with company policies.

Office Management:

 

  • Oversee office management, including maintenance of supplies, equipment, facilities, pantry items, and other office-related needs.
  • Coordinate domestic and international travel arrangements for staff, including flights, accommodations, transportation, and visa processing. Anticipate and proactively address travel-related issues.
  • Process invoices from suppliers and third-party agencies for administrative items such as business cards and company shirts.
  • Raise Purchase Requisitions (PR) for office-related items, acknowledge goods upon arrival, and assist with YGT Malaysia business units’ PR requests as needed.
  • Manage vendor relationships and negotiations for office services and supplies.
  • Coordinate office events, meetings, and gatherings, including sourcing quotations, scheduling, logistics, and preparation of materials.
  • Arrange meeting logistics, including reservations, catering, and audiovisual equipment setup.
  • Ensure adherence to housekeeping rules to maintain smooth functioning and compliance with office standards.
  • Assist with onboarding of new YGT Malaysia staff, from induction to maintaining administrative records.
  • Facilitate effective communication within the office and between departments.
  • Assist with various ad-hoc administrative task.

 

Qualification & Experience:

 

  • Proven experience as an executive assistant, office admin, or similar role, preferably in a fast-paced environment.
  • A minimum of 3-4 years of experience in a similar executive assistant or administrative role is required.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Strong interpersonal and communication skills, with the ability to interact effectively with individuals at all levels of the organization.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
  • Discretion and confidentiality when handling sensitive information
