Executive, Fleet Operations

The Fleet Operations Executive is responsible for the day‑to‑day coordination, monitoring, and optimisation of fleet operations to ensure vehicle availability, service quality, cost control, and customer satisfaction. The role supports the full vehicle lifecycle, including maintenance planning, repairs, inspections, new vehicle delivery, and EV‑related operations, while working closely with internal teams, service centres, workshops, and external vendors.

 

Key Duties & Responsibilities:

Fleet Maintenance & Operations

  • Monitor vehicle mileage and proactively plan scheduled maintenance, including coordination of pick‑up and drop‑off services.
  • Analyse the condition and lifespan of common wear‑and‑tear components (e.g. tyres, brake pads) and recommend timely replacements in line with approved guidelines.
  • Review and validate service items proposed by service centres and workshops to ensure necessity, accuracy, and cost control.
  • Coordinate and track vehicle repairs, including accident cases, ensuring timely resolution and minimal downtime.
  • Support end‑of‑lease inspections and technical checks with appointed workshops.

 

Vendor & Service Partner Management

  • Monitor service level performance and turnaround time of service centres, workshops, and logistics/vendors.
  • Understand workshop capacity and identify additional service partners to support fleet expansion and operational peaks.
  • Coordinate pre‑inspection repairs (e.g. Puspakom or equivalent regulatory inspections) as required.
  • Liaise with vendors for installation of vehicle accessories, including telematics devices, and conduct quality checks prior to vehicle delivery.

 

Fleet Planning & Vehicle Delivery

  • Coordinate delivery timelines of new vehicles with dealers to ensure on‑time handover to customers or subscribers.
  • Track fleet availability and work with internal stakeholders to align operational capacity with demand.

 

Customer Feedback & Continuous Improvement

  • Collect, compile, and analyse customer feedback related to fleet service, repairs, and vehicle quality.
  • Identify recurring issues and support process improvement initiatives to enhance operational efficiency and customer experience.

 

Standard Operating Procedures & Reporting

  • Ensure accurate documentation, operational tracking, and reporting of fleet activities.
  • Support compliance with internal processes, safety standards, and regulatory requirements.

 

Qualifications & Experience:

  • Diploma or Bachelor’s Degree in Automotive, Fleet Management, Mobility, or a related field
  • Good use of Word and Excel
  • Minimum 3 years of relevant experience in fleet operations, automotive, mobility, or related industries.
  • Strong communication, planning, coordination, and interpersonal skills.
  • Detail‑oriented, organised, and execution‑focused.
  • Prior experience in the EV industry.
  • Hands on experience working with service centres, workshops, or automotive vendors.
  • Exposure to telematics systems, fleet management systems, or EV charging infrastructure.
