Summary
Working directly with the Chief Financial Officer, the Executive Assistant will provide comprehensive administrative, operational and project-related support to the CFO, ensuring a smooth operation of the CFO's office. This role requires a highly organised, proactive person with strategic thinking and a high attention to detail, who exercises sound judgement in a fast-paced environment and can handle confidential information with the utmost professionalism.
Key Responsibilities
- Manage the CFO’s calendar, prioritise and coordinate internal and external meetings, and ensure optimal scheduling across time zones to ensure efficiency
- Serve as a point of contact for internal and external stakeholders, including board members, executives, and business partners; screen and prioritise incoming communications, draft communication and respond on behalf of the CFO where appropriate
- Prepare, organise and review briefing materials, memos, presentations and other documents for internal and external meetings, and ensure that information are accurate and complete
- Support operational and strategic projects and initiatives led by the CFO, coordinating with finance leaders and other departments, and track progress, gather update and follow up on action items to ensure efficient and timely project execution.
- Arrange international travel, including flights, accommodations, car arrangements, itineraries, and visas, and prepare and coordinate detailed travel agendas
- Provide general executive and administrative support, such as the preparation and processing of expense claims, events management and coordination, etc
- Manage ad hoc matters arising, perform other tasks that may be assigned by the CFO, and support the CFO’s team with administrative matters
- Maintain confidentiality and handle sensitive information with absolute discretion
Qualifications
- At least 5 years of work experience either in a similar role or in corporate finance, preferably in a multinational or large corporate environment, financial institution, or private equity
- Strong analytical skills, a good understanding of general accounting, legal, tax and finance aspects, and advanced knowledge in investment analysis and valuation, the international energy markets, and the international financial markets
- Exceptional organisational skills and the ability to prioritise and manage multiple tasks with a systematic approach, solution-oriented thinking and a high attention to detail
- Excellent communication skills, the ability to produce well-structured written materials, communicate complex matters concisely and interact effectively and professionally across all levels of the organisation and with external stakeholders
- High proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- A high level of self-motivation with a proactive hands-on approach and anticipation of the CFO’s needs; a good team player able to build relationships and deliver results within tight timelines in a fast-paced, international environment
- A good degree in accounting, business administration, economics, finance or equivalent from a recognised university; a postgraduate degree and/or a professional qualification such as CPA, CFA or similar are considered an advantage
